From modelling and automation to real-time monitoring and data governance — everything you need to know about business process management software (BPMS), and how SoftProject’s X4 BPMS puts it to work.

Book a demo A BPMS is indispensable for any digital organisation. In this guide we explain what defines a good business process management software, how it connects modelling, automation and monitoring across the entire process lifecycle, and why trustworthy data — and the data governance that safeguards it — is what separates a process that runs from a process you can rely on.

What is a BPMS?

BPMS is short for Business Process Management Software (or Suite). A BPMS supports organisations in continuously improving their business processes — from initial design and modelling through to execution and automation. That overarching discipline is known as Business Process Management (BPM). The analyst firm Gartner additionally coined the term intelligent Business Process Management Suite (iBPMS) for platforms that layer on intelligent capabilities such as real-time analytics and monitoring. A BPMS is typically made up of several components that work together to manage the full lifecycle of a business process. The core capabilities are process modelling, which captures and documents a process graphically along with its activities, decision points, responsibilities and flow conditions; process automation, which delegates tasks to people or systems, exchanges data between applications and applies rule-based decisions; process monitoring and control, which tracks the status and performance of running processes in real time so bottlenecks and SLA breaches can be spotted and resolved; and process optimisation, which turns analytics and reporting into concrete improvements to efficiency, quality and customer satisfaction.
“A BPMS should never be treated in isolation from the data it runs on. When process automation and data governance sit on one platform, every automated decision becomes one you can trust and defend.” — Wolfgang Wiesner, CTO, SoftProject

What does business process management aim to achieve?

As a suite of technologies, a BPMS can bring together process mining (analysis tools that go beyond target-versus-actual comparisons to explain the “why” behind process behaviour), a process designer and modeller (usually built on the Business Process Model and Notation, BPMN 2.0 standard), a process engine that executes and automates the modelled processes, a rules engine for automating and managing business rules, and business activity monitoring for capturing critical performance indicators in real time.

Exactly which goals BPM serves depends on the organisation. The fundamental aim is always to know, understand and align business processes with the needs of different stakeholders. Current processes are analysed, inefficiencies are identified, and targeted changes are made to improve both effectiveness and efficiency. With the right business process management software, teams can plan, steer and optimise their processes deliberately — while the software also supports system integration and task automation.

Automating processes and integrating systems (for example through robotic process automation) allows workflows to run automatically, relieving employees of monotonous, time-consuming tasks and freeing them for value-adding work. Everything runs transparently and is documented automatically, which in turn lets organisations improve continuously, raise efficiency and cut costs. Clear ownership matters here too: defining a business process owner for each process is what keeps optimisation accountable rather than accidental.O, SoftProject

Where is a BPMS used?

Business process management suites are deployed across virtually every sector, from mid-sized companies to large enterprises. They are especially common in manufacturing and production, where they automate and streamline operations; in healthcare, to rationalise processes, improve quality of care and reduce cost; in banking and financial services, to raise efficiency by automating manual work; in telecommunications, to automate customer-service administration; and in retail and consumer goods, to meet rising customer expectations and save cost through digitalised processes.

How does a BPMS support robotic process automation (RPA)?

Robotic process automation describes a technology that automates recurring, rule-based tasks using software robots that carry out defined steps on their own. RPA is particularly well suited to high-repetition processes that would otherwise be executed manually. Integrating RPA into your business process management software lets you automate these tasks and lift efficiency across the board.

The benefits are tangible: because software robots always follow the same rules, human error is minimised, and because they work far faster than people, process throughput times shrink. A BPMS supports RPA in several ways — by integrating dedicated RPA tools that execute individual steps automatically, by providing workflow management that plans, steers and monitors processes with RPA embedded where it adds value, and by automatically documenting every process so it is always clear which steps were performed by people and which by robots. The result is faster, more consistent, lower-error operations.

Why data governance belongs at the heart of your BPMS

A process is only ever as good as the data flowing through it. Automated workflows make decisions, route cases and trigger downstream actions based on the data they receive — so if that data is inconsistent, duplicated or poorly defined, a BPMS simply automates the error faster. This is why data governance is no longer a back-office concern but a precondition for dependable process automation.

Strong data governance gives your processes a single, trustworthy version of the truth to act on. When master data is consolidated into a golden record through master data management, when data assets are made discoverable and understood in a data catalog, and when a governed data platform underpins the whole estate, your business processes inherit that reliability. Governed data means automated decisions you can defend, audit trails that stand up to scrutiny, and analytics you can actually trust.

SoftProject brings both worlds onto one platform: the same environment that models and executes your processes also governs the data those processes depend on — through MyDataCatalogue for cataloguing and lineage and dataspot. for business-oriented data governance. Instead of bolting governance on afterwards, process automation and data governance reinforce one another from the start.

Inside X4 BPMS: the SoftProject business process management suite

X4 BPMS provides all the tools you need to model business processes, implement them technically, execute them directly and monitor them in operation. Long-running processes are modelled graphically in the BPM Designer and executed state-dependently on the BPM Server. The business processes created in the Designer orchestrate the services provided by the integrated Enterprise Service Bus (ESB). With a user-friendly interface and powerful tooling, the software supports modelling and management across the entire process lifecycle.TO, SoftProject

Modelling processes with X4 BPMS

In the BPM Designer, long-running stateful processes are modelled by drag and drop in the BPMN 2.0 notation standard and linked to technical processes. Business processes form the bridge between the business side and its implementation, and the intuitive drag-and-drop surface lets teams from different departments collaborate closely and improve processes continuously. Once all technical processes are linked and services are modelled on the integrated ESB, the business process can be tested and executed directly. You can validate your processes for BPMN conformance, error-free configuration and against your own custom check rules.

Process automation for greater productivity

Systematic, centrally accessible and up-to-date process documentation creates a shared understanding of how things run — and it is the perfect basis for systematic quality management under the process-oriented approach of the ISO 9001 standard. The X4 BPMS Control Center gives you comprehensive process documentation that always reflects the current state of your business processes and references every linked technical process.

Orchestrating process landscapes

Processes that span departmental and organisational boundaries along the value chain are often made up of sub-processes of very different complexity. To orchestrate them, the X4 BPM Designer lets you define higher-level process models or process maps in which every relevant building block is linked. Thanks to central management of process models and support from iBPMS capabilities, enterprise-wide collaboration is strengthened, and the platform is built to drive digital transformation and support project management. With process maps you keep an overview of complex process landscapes and can present different views — for business departments or for IT.

A BPM engine for automated business processes

The BPM Server executes the modelled processes reliably and state-dependently, coordinating sub-processes and the services exposed on the ESB. This is where models become running operations: tasks are dispatched, systems are integrated and long-running processes are carried through to completion without losing state — the foundation for dependable, end-to-end automation.

Checking and processing data by rule with the Rules Engine

With the Rules Engine add-on for X4 BPMS, business processes can be steered through freely definable business rules. Incoming data streams or documents are checked for consistency, completeness, threshold breaches and more. Business users can evaluate the results statistically, manually route individual cases for clearing, and re-parameterise the stored rules when needed — and because rules can be defined and imported as simple spreadsheets, that control stays in the hands of the people who know the process. It is also a natural point at which process automation meets data governance, enforcing data quality at the moment data enters the process.

Monitoring business processes

SoftProject’s X4 BPMS provides individual dashboards with process KPIs that visualise the current actual state in real time. Web apps let you build interfaces through which each department interacts with the process and intervenes when required. Already digitalised your processes? Then use X4 BPMS for process monitoring, and turn the data you gather from monitoring into the next round of optimisation.

BPMS as part of the SoftProject platform

A BPMS delivers most when it is not an island. SoftProject unifies process automation with data governance, integration and AI enablement on a single platform, so the process layer and the data layer work as one. The portfolio brings together X4 BPMS for low-code process automation with 200+ prebuilt adapters, an integrated ESB and BPMN 2.0; Phoenix for enterprise integration and execution governance; dataspot. for business-oriented data governance and lineage; and MyDataCatalogue for cataloguing and understanding your data assets. Explored across the platform’s four pillars — Data Governance, Seamless Integration, End-to-End Automation and AI Enablement — a BPMS stops being a standalone tool and becomes the execution engine of a governed, connected information system. If you want to see how these pieces fit around a concrete business goal, the Business Process Management challenge and the Enterprise Architecture challenge are good places to start.

FAQs

BPMS stands for Business Process Management Software (also called a Business Process Management Suite) — software that helps organisations design, model, automate, execute and monitor their business processes across the full lifecycle.

BPM (Business Process Management) is the discipline of continuously improving how an organisation’s processes run. A BPMS is the software that puts that discipline into practice — providing the modelling, automation, execution and monitoring capabilities to do it at scale.

A BPMS automates decisions and actions based on the data flowing through a process, so the quality of that data determines the quality of the outcome. Pairing a BPMS with data governance — master data management, a data catalog and a governed data platform — ensures processes act on trustworthy, well-defined data.
