In this article, we introduce the “X4 Case Management” feature of X4 BPMS. This feature allows business analysts, process owners, and consultants to design, model, and execute business processes according to their needs – all without programming. The intuitive software allows users to edit the business status in real time on a graphical interface and view it via a monitoring tool. Business data can be modeled directly at the BPMN level, and employees, customers, or suppliers can be integrated into the processes.

In companies, it’s still common practice for business analysts, process owners, or consultants to hand over their drawn process diagrams to software developers for technical implementation or automation. Since this manual approach is error-prone and inefficient, an automated solution offers a remedy. With X4 Case Management, functional processes, including business logic, can be modeled on a graphical interface – without needing to involve a technician or software developer. This is based on selectable drawing elements and pre-built, function-enabled building blocks for tasks and activities, allowing for the implementation of any process, such as an order or invoice transaction.
Integrate people into processes effortlessly
A particularly useful feature of X4 Case Management is the “Human Task” activity module. This allows you to involve individuals or groups in processes, assign roles, define rules, assign tasks, and process input. For example, if an employee accepts a task, they open the task management app on their desktop or smartphone and can complete the task using the user-friendly interface – perhaps by filling out a provided form. The web application is included in X4 Case Management by default. Processing times are irrelevant – unless a deadline has been explicitly set – because the process only continues once the respective task has been completed.
View and edit specialist data and specialist status in real time
The course and characteristics of each process are shaped by the business data used. Business data includes, for example, invoice numbers, currencies, and addresses. These can be directly assigned and edited within the process in X4 Case Management. The business status of an ongoing process can also be set, controlled, and checked in real time at any time. For example, it’s possible to see whether an incoming invoice has been approved or rejected by the responsible employee. Process modeling is further simplified by a new rule component, BPM Rules. This component automates decisions based on tables and complies with the official notation standard for decision rules in business process management defined and established by the Object Management Group (OMG).
